What is an Intranet? Well, it's somewhat loosely defined as a private website that contains information and functionality for a company's employees.

So, what does that mean?

As with most things, an intranet is best illustrated with an example. Imagine that your company is going through Quality Assurance. Now, if you are or have been Quality Assured, you will know that half of the effort of maintaining the system lies in making sure everyone has the latest copy of the procedures. Not to mention the small forest that is cleared every time you change a procedure.

Wouldn't it be easier if you just publish the procedures to a web page, and then every time someone needs to check on how to do something, it's guaranteed that they are looking at the latest copy? And not only that, there could be a search facility that helps them find what they are after. And also, instead of having to print out forms for purchase orders or incident reports, how much time would it save if they could fill them out online? Then, people could access automatically generated reports on those forms, without having to maintain complicated spreadsheets?

Other areas that intranets can save time and money on are things like timesheets. How many companies have spreadsheets that someone fills out, only to have someone else copy the information into another spreadsheet so they can total the information? If you have an intranet based time sheeting system, then people are entering their times directly into a database, which then generates live reports on that data for the billing department to work their magic.

And if your intranet is storing your Policies and Procedures, and is doing your timesheets, then it's a short step for it to be a Project Management system, and a Client Contact System, and a Company Address Book, and a Company Library, and a Company Message Board. Clearly the list is endless!
